CRU Events is the conference division of CRU Group; a specialist analysis and consulting business in the metals, mining and fertilizer industries. We organise a mixture of small- and large-scale conferences around the world in our relevant sectors. Our focus is to deliver our market analysis, consultancy and events in the way that most benefits our clients.

We are looking for an energetic, customer focussed and proactive Event Client Services Executive to join the team. Reporting into the Head of Event Client Services & Event Operations, this role carries a wide range of responsibility with a heavy focus on customer facing administrative and financial tasks.

This role would ideally suit an enthusiastic worker with the ability to work well under pressure in a fast-pace environment and who can manage multiple tasks simultaneously.  The ideal candidate would need to act on their own initiative and own their processes once guidelines have been given. There will also be the chance to travel to some of the projects you assist on, but it will not be a requirement.

Key responsibilities

  • Manage delegate registrations orders, invoices and payments of delegates attending CRU events. This includes following up with unpaid delegates via email and phone
  • Assisting with client hotel bookings
  • Hold main responsibility for our central team inbox containing queries from customers and colleagues
  • Follow up with clients for speaker papers, biographies, profile and logos and updating them on our websites and internal drives
  • Managing the debt chasing process for unpaid delegates and sponsors across a variety of events. This also involves working closely with our London finance team and worldwide offices to track and update outstanding payments
  • Collate copy for the design of event guides
  • Clean data – delegate lists, accommodation lists
  • Creating and distributing sponsorship invoices
  • Manage the bank transfers for our team and update weekly excel team spreadsheets used to track our revenues
  • Assemble, organise and arrange key items for shipments to events: including delegate badges, header slides, speaker tent cards
  • Stock checks for team supplies and manage orders
  • Dealing with third party organisations to arrange visa letters for clients to attend our event

Qualifications

  • Graduate calibre
  • Used to working to strict deadlines and remaining calm under pressure
  • Ability to get on with people in a small tightly run team and work autonomously
  • Fluent English required. A second language is an advantage – Spanish, Portuguese, German, Chinese are useful in terms of the destinations we run our events
  • Highly accurate with attention to detail and very well organised
  • Efficient in Microsoft Office and familiar with databases software, in particular excel spreadsheets
  • Confident telephone manner and impeccable customer service
  • Demonstrates a wide range of skills, including excellent interpersonal and organisations skills
  • Candidate may be expected to travel on occasions, however ample notice is provided
  • Candidates must have the legal requirements to work in the UK
