About the role:

We are seeking an organised, proactive Office Operations Coordinator to support the day-to-day running of our Shanghai office. This role will help create an efficient, welcoming and well-managed workplace, while working closely with global colleagues to ensure company processes are understood and applied consistently.

The successful candidate will coordinate office facilities and practical arrangements, support health and safety compliance, and provide responsive administrative and basic IT support to colleagues and visitors.

Key Responsibilities:

  • Provide day-to-day administrative and operational support for the Shanghai office.
  • Coordinate office facilities, supplies, maintenance activities and external service providers.
  • Support compliance with local health, safety and workplace requirements.
  • Maintain accurate office procedures, supplier information and health and safety documentation.
  • Liaise with global teams to communicate and apply company-wide processes consistently.
  • Help colleagues understand relevant global policies, processes and office updates.
  • Support onboarding, workplace arrangements and practical requirements for new employees and visitors.
  • Assist with meeting, event and travel coordination as required.
  • Identify, escalate and support the timely resolution of office-related issues.
  • Provide onsite basic IT support, including laptop setup and communication with the IT Service Desk.

Qualifications:

  • Relevant experience in office administration, facilities coordination, workplace operations or a similar role.
  • Experience working in a professional office environment.
  • Understanding of, or willingness to learn, local workplace health and safety requirements.
  • Ability to communicate professionally in both Mandarin Chinese and English.

Skills & Experience:

  • Clear written and verbal communication skills in Mandarin Chinese and English.
  • Ability to work effectively with colleagues across global teams, time zones and cultures.
  • Strong attention to detail, particularly when maintaining office, supplier and health and safety records.
  • Practical problem-solving skills and a proactive approach to resolving workplace issues.
  • Familiarity with coordinating facilities, suppliers, maintenance and workplace services.
  • Proficiency in Microsoft Office applications, email and video-conferencing tools.
  • Ability to provide basic onsite IT support and coordinate effectively with technical support teams.
  • Professionalism, discretion and the ability to handle confidential information appropriately.
  • A collaborative, service-focused approach and willingness to support colleagues and visitors.
  • Strong organisational skills, with the ability to manage multiple priorities effectively.
